Overview

The Back-Office Billing & Account Services Specialist provides day-to-day operational services including, but not limited to, determining daily positions, performing account reconciliations, clearing of transaction files, opening, closing and address changes for accounts in internal software programs, reporting performance, maintaining data in billing software, running quarterly billing, coordinate with delivering bank and processing the monthly ACH for advisors.

 

Key Areas of Contribution:

Serve advisors and their clients by capturing, updating, maintaining and periodically reporting and disseminating client account information in an accurate and timely manner and processing monthly invoices including payment to advisors.  Works closely with the Accounting Specialist.

Responsibilities

Perform day-to-day operational services including, but not limited to, downloading transactions, prices, and positions from Custodians, updating account records including opening and closing of accounts, perform account reconciliations, and performance reporting. Maintaining billing software, processing quarterly billing and processing monthly payments to advisors.

  • Reconcile client accounts and transactions. Update price and position files. Post updates into the portfolio management system, Advent AXYS, to support timely and accurate trading and reporting.
  • Open client accounts in portfolio management system from custodian Schwab Advisor Services.
  • Close client accounts in portfolio management system from custodian Schwab Advisor Services.
  • Maintain up-to-date records in Advent AXYS for Schwab Advisor Services Client accounts.
  • Maintain Cost Basis in Custodial records and Advent Axys.
  • Research and resolve data-related issues associated with client records.
  • Process client reports. Ensure accuracy of advisors' account lists, cash yields, performance files, and cash balances. Participate in the production, printing and timely distribution of quarterly and annual client reports. Support ad-hoc reporting requests as directed.
  • Maintain billing software with new accounts, fee schedules, addresses and advisor information.
  • Reconcile, compute, verify and distribute quarterly invoices processed every month on a rolling cycle.
  • Import, reconcile, verify and process payments to advisors on a monthly basis.
  • Input all corresponding accounting entries into accounting software.
  • Research and adjust any billing errors.
  • Follow-up on accounts receivables generated by the billing cycles.

Maintain current knowledge of First Affirmative's systems, operational procedures, processes and service standards to provide and promote optimal advisor/client services.

Qualifications

Education/Experience: High school graduate or equivalent plus one to three years or more of related work experience, preferably in financial services or investment management field, required. Bachelor’s degree in Accounting, Finance, Economics or related field is preferred. Experience working with outside custodians, Schwab preferred. Requires working knowledge of customer relationship management software, Salesforce preferred. Working knowledge of portfolio management system software is a plus, Advent AXYS preferred. Knowledge of accounting software, ability to learn Accpac, Billport and Printboss.
